One system or many? Stayflexi vs Mews vs RoomKey for US independent hotels
Every PMS now promises one platform and built-in AI. Here's a fair look at how Stayflexi, Mews, and RoomKeyPMS actually get there, what's native versus acquired or connected, and what US independents and motels pay for the pieces they need.
If you run an independent hotel or motel in the US, the PMS shortlist has changed. Every vendor now says some version of the same thing: one platform, one guest profile, AI built in. Mews calls itself the operating system for hospitality. RoomKey says everything an independent hotel needs is in one place. Stayflexi says all-in-one from day one. So how do you tell them apart when the slogans sound the same?
You look at how each platform got there, what is native versus connected, and what you actually pay for the pieces a small property needs. Here is a fair look at three cloud platforms US independents and small groups evaluate: Stayflexi, Mews, and RoomKeyPMS. All three are serious products. They made different bets.
The test to run in every demo
Skip the feature tour and ask each vendor to walk one guest through one stay, live:
An Expedia or Booking.com reservation lands, and rates and inventory update everywhere without a second login.
The guest texts about early check-in, and whoever replies, a person or an AI agent, can see the reservation, the folio, and room status.
The card on file covers incidentals without anyone re-keying it.
Night audit closes and reconciles payments without someone exporting reports at 2 a.m.
You can see the monthly bill for all of the above, in writing, before you sign.
Every step that needs a separate contract, a partner connection, or a higher tier adds cost and a place for data to fall out of sync. It is also where AI stops being useful, because an agent can only act on data it can reach.
Stayflexi: all-in-one and AI-native, at a published price
Stayflexi was built as one hospitality system rather than a PMS with modules added over time. PMS, channel manager, booking engine, payments, guest messaging, and reporting share one guest and operations record. The wider platform also includes POS, housekeeping, revenue management, reputation, and self check-in on the same data model.
On top sits FlexiAI, a set of AI agents that do daily work: Guest Assist replies to guests across OTA inboxes, WhatsApp and other channels; Reputation Manager drafts and posts review replies; and Night Auditor automates the daily close and flags issues. They work because the guest, folio, inventory, and channel data are already in one place, not stitched together by interfaces.
For US properties, Stayflexi publishes its price. The US all-in-one package is $149 per month and covers the PMS, channel manager, booking engine, payments reconciliation, guest messaging, AI front desk assist, and the AI night auditor, with no add-ons. Stayflexi offers to match your price if you already pay less for the same feature set, includes free data migration, and says most properties go live in about a week with 24/7 support. Stayflexi is Y Combinator-backed and reports 5,000+ hotels and 90,000+ rooms across 10+ countries (vendor figures, like all scale numbers in this post).
Where Stayflexi is strongest: independents, motels, and small groups that want one bill, one guest record, a price they can see up front, and AI agents that already close real tasks.
Mews: a well-funded operating system, assembled with ambition
Mews is one of the strongest products in hotel tech, and it deserves credit. It raised $300 million in a Series D in January 2026 at a $2.5 billion valuation, and reports 15,000 customers in 85 countries. Hotel Tech Report named it Best PMS in 2024, 2025, and 2026. Mews has a long list of genuine firsts, including early online check-in, an open API, and embedded PMS payments.
At its Unfold event in May 2026, Mews launched five products it says complete its operating system: Mews RMS, Mews Channel Manager, Guest Messaging with the native Mews Agent, Automations, and Accounts Receivable. In October 2026 it rolled out Guest Messaging and Automations, saying Mews AI answers 80% of routine guest questions instantly. Its Pro plan lists PMS, revenue management, a 400-channel channel manager, AI messaging over WhatsApp and SMS, kiosks and digital keys, embedded payments, a booking engine, BI, and housekeeping. A lighter Core plan serves less complex properties. Prices are quote-based.
What is worth understanding is how the platform came together. Mews RMS is the former Atomize, which Mews acquired in November 2024 after six years of partnership and then rebuilt into the platform. Pro-tier housekeeping is powered by Flexkeeping, acquired in September 2025, which Mews described as its 13th acquisition. Mews Channel Manager is powered by SiteMinder through a technical partnership. Mews also acquired Clarity Hospitality, a US PMS provider, in 2025. Mews is open about this, and its stated goal is to bring what hotels need into one place rather than rebuild everything.
Where Mews is strongest: mid-size and larger hotels and groups, especially across Europe and North America, that want deep payments, kiosks, revenue management, and a rich partner ecosystem. What to check: your quoted price at your room count, which tier includes the features you need, and how a recently integrated module behaves in your own workflows.
RoomKeyPMS: two decades of limited-service depth
RoomKeyPMS has been in hotel software for about 20 years and reports 70,000+ managed rooms across North America, with 76% of customers staying more than five years. That kind of retention means it does the basics well. Its October 2026 service agreement names Fullsteam Software Holdings (d/b/a RoomKey), a Fullsteam subsidiary, as the contracting company for US clients.
The feature set is built for limited-service and independent hotels: tape chart, groups and rooming lists, corporate accounts and accounts receivable, packages, 80+ reports plus custom reports, unlimited users, multi-property and CRS tools, and PCI, GDPR, and ADA compliance. Its guest-facing side includes mobile check-in and check-out, digital signatures, ID capture, and integrated payments with automated batching and night audit. On AI, RoomKey lists AI-powered daily briefings, automated guest journey messaging, AI replies to guest feedback, and AI guest data quality that merges duplicate profiles.
RoomKey's model leans on connections. It publishes a marketplace of 100+ interfaces and integrations, and its connections to travel sites are listed through that marketplace. Pricing is quote-based, with example bundles for small, midsize, and large or chain hotels rather than published rates.
Where RoomKey is strongest: limited-service hotels with real corporate and group business that value a mature, stable PMS and a long integration list. What to check: which pieces are in your bundle versus interfaces, and what the full monthly bill looks like once distribution, payments, and guest messaging are added.

How to choose
Choose Stayflexi if you run an independent hotel, motel, or small group and want one system, one guest record, a published price with no add-ons, fast migration, and AI agents that already take work off your desk.
Choose Mews if you run a larger or more complex property or a multi-brand group and want the depth of a heavily funded platform with kiosks, advanced revenue management, and a broad ecosystem.
Choose RoomKey if corporate accounts, groups, and receivables drive your limited-service hotel and you prefer a long-tenured PMS with many interfaces.
The architecture bet
Everyone now agrees on the destination: one data model where AI can see the reservation, the folio, and the room, and then act. The difference is the path. You can acquire and partner your way there, you can connect your way there, or you can build it as one system from the start.
Stayflexi built it as one system from the start. That is why a 40-room motel can run on the same AI agents a group uses, at a price printed on the page. Bring your real workflow to a demo, from OTA booking to night audit to review reply, and see which platform handles it in one place.
